Users and seats

RubySig bills per active mailbox per month. The number is shown on the portal's dashboard and on the Billing page.

What counts

A mailbox counts when it sends stamped mail during the billing period. That includes shared and service mailboxes that send through RubySig. Mailboxes that exist in your directory but never send through the relay — a distribution list, a dormant account, a mailbox that only receives — are not seats.

The dashboard figure marked est. is today's estimate: mailboxes synced and active in your directory. Final metering counts what actually sent.

The first invoice, and after

• Your first invoice is based on the mailbox count you gave us when your terms were agreed.
• From then on, billing follows observed use. If the observed count rises above what you are contracted for, we tell you 30 days before the higher number applies — as a recorded notice, not just an email — so a change is never a surprise on an invoice.
• A fall in use is reflected on the next invoice.

The minimum

Every tier has a 25-mailbox minimum. An organization sending from fewer mailboxes is billed for 25. See Pricing for the tiers and what each includes.

Users in the portal

A user in the directory sense — someone who appears under Users and gets a signature — is separate from a portal user, someone who can sign in to manage the account. Directory users cost seats when they send; portal users are free and are covered under Staff roles.
